Receptionist/Admin Assistant

$16/hr

Mon-Fri 8:00am - 5:00pm

-This is a FAST-PACED POSITION in the company consisting of FILING, A LARGE AMOUNT OF REPETITIVE WORK and HEAVY DATA ENTRY - and also a great gateway position to lead to promotion to other departments

GENERAL JOB DESCRIPTION: Admin Assistant/Receptionist

Answer phone, open and distribute mail, order office supplies, filing and general office duties.  Assist HR supervisor with pre-employment testing.  

SPECIFIC JOB DUTIES:

1)         Answer phones &  route calls.

2)         Check the info box throughout the day.

3)         Distribute faxes and emails received in info box. Review and forward to the appropriate person.

4)         Prepare mail to be taken to Post Office daily.

5)         Open mail and scan/distribute via email or employee mailboxes.

6)         Scan and file documents electronically left in “file mailbox” in mailroom.

7)         Electronic filing of correspondence received via email daily, including all attachments.  Avoid duplications.

8)         Order office supplies weekly.

9)         Maintain paper in copy machines. 

11)       Maintain extension listing.

12)       Check available postage balance and notify Accounting  when balance is less than $750.  Transfer funds to meter when available. 

13)       Notify art department when letterhead and envelope stock is down to 1 box.

14)       Handle requests for product brochures and price lists.  Mail or forward to shipping as appropriate.

15)       File PO’s sent by CSR’s daily in customers’ correspondence folder.

16)       Email Daily Order Report (DOR)

17)       Update and/or prepare SDS Templates as QS SDS are updated. Create private labeled SDS when requested

18)       File updated vendor quotation letters.

20)       Create new correspondence folder for correspondence and PO’s. Create, mail and file new customer letter (Net 30 Letter).

22)       Handle requests for certificate of insurance for product liability insurance.

24)       Create daily deposit order using check template on share drive.  Scan checks & deposit slip to email to Accounting, etc.  Notify Accounting of any unsigned checks.  Deliver deposit slip and checks to Accounting.

28)       Assist HR recruiting by having applicants complete job application

29)       Fax/ mail invoices to referenced customers.

30)       Submit service calls for office copiers, as needed.

31)       Notify Supervisor to update receptionist manual as needed.

Any other duties or special projects that may be assigned by the supervisor.
